 Easy Returns  

RETURN PROCEDURES: Should you need to return merchandise to Your Pond Farm our staff is ready to assist you with the process. Please complete the "Return Merchandise Authorization Request Form" (RMA) available on our website (www.yourpondfarm.com). When completed send to Your Pond Farm's Returns via email: returns@yourpondfarm.com OR fax: 877.315.5888. To expedite your return, please provide ALL information requested on this form, which must accompany all product returns. 

•Copy of the final (end user) sales receipt•Your company, contact name and phone number•The related invoice number and date for which the item was purchased from YPF•Item number, description; include make, model and serial number•Reason for the return (Example- No Flow Rate, Trips Breaker)


By providing this information it will only help expedite the process; otherwise, the process could be delayed. Once Your Pond Farm receives ALL information a RETURN MERCHANDISE AUTHORIZATION NUMBER and form will be issued. Your Return Merchandise Authorization Number (RMA) MUST ACCOMPANY ALL PRODUCT RETURNS. Please place all items to be returned in a box clearly marked with your company name and RMA number. Credits will be issued for items returned on this list only. All items will be evaluated as per the manufacturer warranty and proper credit amount will be issued. CREDITS, REPAIRS, AND REPLACEMENTS FOR RETURN ITEMS: Any credits to your account relating to defective product warranty claims will be handled according to each individual manufacturers warranty claim process and may take up to 30 days to resolve. All back to stock product returns may be subject to a 15% restocking fee. All warranty credits, repairs and replacements are up to the discretion of the manufacturer. All back to stock product must come back unused and in original packaging fee or a repackaging fee of 20% will be issued. For warranty product there is a 30 day return shipping policy. Within 30 days of shipment there is a warranty issue with a product, we will send out a call tag and send new product at no shipping charge. When the product is returned we will file a claim. All warranty credits, repairs and replacements are up to the discretion of the manufacturer. Invoice will be dated NET30 from when we receive the product.If the customer has had the product for over 30 days, it is up to the customer to return to product to us at their expense. We appreciate your business. It is our goal to provide the highest level of customer service and satisfaction. 

STANDARD TERMS AND CONDITIONS OF SALE

Prebuy Orders

  • All prebuy orders must ship by 04/15/2025.
  • Orders shipping after 04/15/2025 will be billed at in-season prices.

Payment Terms

  • To purchase wholesale products, you must provide your Garden Center, Pet Store, or Landscaper business license issued by your city, county, or state, along with your state sales tax certificate.
  • Accepted payment methods include cash, check (C.O.D.), Visa, and MasterCard. Any alternative terms require pre-approval and a personal guarantee.
  • Outstanding balances over 30 days are subject to a 1.5% monthly service charge.

Delivery Terms

  • Live Goods Delivery: Deliveries made by Your Pond Farm trucks guarantee live arrival only. Issues must be reported to the driver immediately upon delivery.
  • Ownership: All merchandise remains the property of Your Pond Farm until the invoice is paid in full.

Discounts

  • Discounts are available for accounts in good standing and are based on volume and performance.
  • Early order discounts must be paid in full within terms, or the discount is forfeited.

Order Requirements

  • Minimum order amount: $250. Orders under $250 (but at least $150) will incur a $10 service fee.
  • Small hard goods orders can be shipped via UPS, FedEx, or USPS.

Shipping & Fuel Surcharge

  • A fuel surcharge applies to all delivered orders.
  • Fish are delivered via Your Pond Farm trucks or shipped via UPS Next Day Air (shipping charges apply).
  • Optional insurance for UPS shipments costs 10% of the purchase price. If insurance is declined, the consignee assumes full responsibility for live freight.

Returns

  • General Returns:
    • Returns require a Return Goods Authorization (RGA) number.
    • 15% restocking fee applies to all returns, no exceptions.
    • Products must be in original packaging, unused, and returned prepaid. Items with price tags, mailing labels, or damaged packaging will incur a 25% charge.
    • Credits are issued for future purchases only. Perishable, dated, or special orders are non-returnable.
  • Warranty Returns:
    • Warranty claims require an RGA number and must include the original receipt and explanation of the issue.
    • Returns are prepaid or returned via Your Pond Farm trucks on your next delivery. Items under warranty will be tested and repaired, replaced, or credited based on the manufacturer’s policy.

Claims

  • Shortages: Claims for shortages must be noted on the shipping ticket at delivery or reported within 24 hours.
  • Damaged Goods: For truck freight, box count shortages or damage claims must be handled with the carrier.
  • Live Goods Freight: Claims for fish shipments (damaged boxes or late arrival) are the responsibility of the shipping company. Ensure to inspect boxes upon arrival and file claims with the shipper as needed. Insurance is available for UPS Next Day Air shipments only.

Miscellaneous

  • Prices are subject to change without notice. Your Pond Farm is not responsible for typographical errors or misprints.
  • No extended payment terms ("dating") are offered for fish and plant orders.
